LoyalGPT Usage Policy

Purpose

The purpose of this policy is to define the acceptable and prohibited uses of LoyalGPT within Loyal Source Government Services. LoyalGPT is a valuable tool designed to enhance productivity and streamline workflows within the organization. However, it is essential to ensure that its use aligns with company policies, regulatory requirements, and ethical standards.

Prohibited Uses

Employees are prohibited from using LoyalGPT for the following purposes:

  1. Illegal Activities: LoyalGPT must not be used to engage in any illegal activities, including but not limited to:

    • Copyright infringement

    • Distribution of unauthorized or pirated content

    • Fraudulent activities

  2. Harassment or Discrimination: LoyalGPT must not be used to harass, discriminate against, or intimidate individuals or groups based on race, ethnicity, gender, sexual orientation, religion, or any other protected characteristic.

  3. Violations of Privacy: Employees must not use LoyalGPT to violate the privacy rights of others, including but not limited to:

    • Unauthorized access to confidential or sensitive information

    • Unauthorized surveillance or monitoring of individuals

  4. Misuse of Corporate Resources: LoyalGPT should not be used for activities unrelated to work responsibilities. Employees must refrain from excessive or unauthorized use of corporate resources, including computing resources and network bandwidth.

  5. Creation of Offensive Content: Employees must not use LoyalGPT to generate or distribute content that is offensive, inappropriate, or harmful, including:

    • Hate speech

    • Graphic violence

    • Sexually explicit material

  6. Misrepresentation: LoyalGPT should not be used to misrepresent oneself or the organization, including:

    • Impersonation of another individual or entity

    • Falsification of information

  7. Bypassing Security Measures: Employees must not attempt to bypass or circumvent security measures implemented to protect the integrity and confidentiality of LoyalGPT and corporate data.

  8. Uploading Personal Information (PII): Employees must not upload personal information (PII) to LoyalGPT. This includes, but is not limited to, Social Security numbers, credit card numbers, and personal addresses.

  9. Use within GCC Accounts: LoyalGPT should not be used within GCC (Government Community Cloud) accounts, specifically those ending in "@loyalsourcesolutions.com" emails.

Reporting Violations

Employees are encouraged to report any suspected violations of this policy to their supervisor, HR department, or the IT security team. Reports can be made anonymously through Lighthouse, accessible on their Okta dashboard. Retaliation against employees who report violations is strictly prohibited.

Consequences of Violations

Violations of this policy may result in disciplinary action, up to and including termination of employment. Additionally, individuals found to be in violation of this policy may be subject to legal consequences, depending on the nature and severity of the violation.

Acknowledgment

By using LoyalGPT, employees acknowledge that they have read, understood, and agreed to comply with this policy. Failure to adhere to this policy may result in disciplinary action.
